Welcome to MentorSheep ("we", "our" or "us"). We are committed to protecting your personal information and your right to privacy. This Privacy Policy explains how we collect, use and safeguard your data when you use our mentorship platform.
2. Information We Collect
We collect information strictly necessary to provide our services. This includes:
- Identity Data: Name and email address provided via the sign-in provider you choose (Google, LinkedIn, GitHub or Zoho).
- Profile Data: For Mentors, this includes professional experience, education, languages, and profile pictures.
- Interaction Data: Details of sessions scheduled and communications via the platform.
- Verification and Payment Data: For mentors, the verification evidence and payout details described below; for all users, records of the payments and refunds tied to their sessions.
3. How We Use Your Data
We use your information to:
- Authenticate your identity and manage your account.
- Enable students to find and schedule sessions with mentors.
- Communicate important platform updates and session notifications.
- Ensure the security and integrity of our mentoring community.
4. Third-Party Authentication
You sign in to MentorSheep with Google, LinkedIn, GitHub or Zoho. We never receive or store your password for these providers. We only receive the profile information and email address you authorize the provider to share with us.
5. Session Recordings
A session is recorded only when a recording is purchased as a paid add-on at booking; otherwise no recording is made. The recording is part of that session's record. It can be accessed only by the student and the mentor who attended the session, and by platform administrators, through time-limited download links. Recordings are kept for 48 hours after the session ends and are then automatically deleted.
6. Session Monitoring and Reports
To keep sessions safe and to enforce our platform rules, we review a random sample of sessions and any session that someone reports. A review uses information we already hold: the booking record, messages exchanged on the platform, and — only where a recording exists because it was purchased as a paid add-on — that recording. We do not create recordings for this purpose, and monitoring does not change what is recorded (see Session Recordings above). Either participant may report a problem after a session, and we do not tell the other participant who raised it; we do know who reported, so that we can follow up with you. Where a review finds a breach of our Terms — for example exchanging contact details in order to take a booking off the platform — we may suspend or close the account concerned and hold any pending balance while we investigate.
7. Payments
Payments are processed by Razorpay. Your card or other payment details are handled by Razorpay; MentorSheep does not receive or store full card details. We keep the transaction records needed to run the platform, such as the amount paid, payment identifiers and refund status. Razorpay's processing of your payment data is governed by its own privacy policy. For mentors, we store the payout details they provide, such as the account holder name and bank identifiers, in order to process withdrawals.
8. Verification Documents
To verify mentors we collect identity, enrolment or professional evidence appropriate to the discipline, such as a licence, professional registration, degree, exam scorecard, enrolment letter, identity document or proof of institutional role. These documents are stored in our database and are accessible only to platform administrators for the purpose of reviewing the application. They are never shown publicly and are never shared with other users. Mentors may request deletion of their verification documents at any time by contacting support.
9. Data Storage & Security
Your data is stored in our production database on cloud infrastructure. Access is restricted by role: verification documents are visible only to platform administrators, session recordings are served through time-limited links to the participants of that session, and other users see only what a public profile or a shared session legitimately shows.
10. Data Retention and Deletion
You can request account deletion from your Settings page or by emailing us from your registered address. Deletion takes effect after a 30-day window, and signing back in during that window cancels the request. Once the window passes, your personal data, including verification documents, photos and profile details, is permanently removed. If an account is terminated and its appeal is rejected, the same permanent removal runs 7 days after the decision. Records of completed sessions and payouts are kept in anonymized form, with personal details removed, to preserve the integrity of the platform's financial records.
11. International Data Handling
MentorSheep runs on cloud infrastructure hosted by Vercel, and we rely on service providers for parts of the platform: Razorpay for payments, Cloudflare for video calls and recording storage, and Brevo for transactional email. Depending on where you live, this means your data may be processed in a country other than your own. We share with each provider only what it needs to deliver its part of the service, and each provider processes that data under its own terms and privacy policy.
12. Your Rights
You can access and correct your personal data from your account settings at any time. You can delete your account from Settings, or email us at hello@mentorsheep.io from your registered address and we will action your request within 30 days. You may also request deletion of your verification documents at any time by contacting support.
